Terms of Use

These terms are a contract between you and BoxPass Ltd (company number 17487634, registered office Unit 2a Swordfish Close, Burscough, Ormskirk L40 8JW) ("BoxPass", "we", "us") for your use of boxpass.co.uk and the BoxPass app (the "Platform"). Part A applies to everyone. Part B applies to athletes who book classes. Part C applies to gyms and their staff. Part D applies to ambassadors. By creating an account or booking a class you agree to them. If you don't agree, please don't use the Platform.
Part A — Everyone
1. What BoxPass is
BoxPass is a marketplace. Gyms list drop-in classes; athletes find and book them. The gym, not BoxPass, provides the class. BoxPass takes the payment on the gym's behalf and passes it on. We are not a gym, we don't employ the coaches, and we don't control what happens in the session. Where we show information from a gym (timetable, prices, facilities, photos, affiliations) we show what the gym has told us or what its booking software sends us; we check what we reasonably can but we can't guarantee it.
2. Your account
You must be 18 or over, give accurate details and keep them up to date, and keep your sign-in details to yourself. You're responsible for what happens under your account. One person, one account. We can suspend or close accounts that break these terms, are used for fraud or abuse, or stay unused for a long time.
3. Acceptable use
Don't: misuse the Platform or interfere with it; scrape or copy listings; post reviews that are false, abusive, discriminatory or not based on a class you attended; impersonate anyone; use the Platform for anything unlawful. We can remove content that breaks these rules.
4. Content you post
You keep ownership of reviews, photos and other content you post, and you give us a worldwide, royalty-free licence to show and use it on the Platform and in our marketing for the Platform. You confirm you have the right to post it and that it doesn't infringe anyone else's rights. Reviews are shown with your first name and initial.
5. Our content
The BoxPass name, logo, design and software are ours or licensed to us. Map data is © Esri, HERE, Garmin and OpenStreetMap contributors; routing © openrouteservice.org. You may use the Platform for its intended purpose and not otherwise copy or exploit it.
6. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything else the law doesn't allow us to limit. Subject to that: BoxPass is not liable for the acts, omissions, premises, equipment or coaching of any gym, or for injury or loss arising from a class; our total liability to you for anything else arising from the Platform is limited to the amounts you've paid through BoxPass in the 12 months before the claim; and we're not liable for loss we couldn't reasonably have foreseen, or for the Platform being unavailable from time to time. We aim for high availability but can't guarantee it, and we may change or withdraw features.

8. Changes, law and disputes
We may update these terms; we'll post the new version with its date and email account holders about significant changes. These terms are governed by the law of England and Wales and the courts of England and Wales have jurisdiction, though if you're a consumer living elsewhere in the UK you may also use your local courts. If something goes wrong, email team@boxpass.co.uk first — most things are quicker to fix than to argue about.
Part B — Athletes
9. Booking a class
When you book you pay the gym's drop-in price plus a £1.50 BoxPass booking fee (charged once per gym per checkout, however many classes you add at that gym). Prices include VAT where applicable. Your booking is confirmed when payment succeeds and you receive a confirmation with a reference (BP-XXXXXXXX). A Member for a Day pass covers up to two classes at one gym on one date. Spaces are confirmed at checkout; a class may fill while it's in your basket, and we hold spaces only for the time shown.
10. Waivers
Every gym on BoxPass requires you to sign its liability waiver before you train. You sign it once per gym, in the app, by typing your name and confirming you've read it. We record the date, time, your IP address and device, keep a signed copy on your profile and email it to you. If the gym updates its waiver you'll be asked to sign the new version at your next booking. You can book without signing, but the gym may refuse entry until you have. The waiver is an agreement between you and the gym; BoxPass only collects and stores it.
11. Cancellations and refunds
You can cancel a booking from My bookings up to 24 hours before the class starts for a full refund of the class price and booking fee to your original payment method (allow 5–10 working days for your bank). Inside 24 hours, no refund is due. If the gym cancels a class, you get a full refund automatically. If you book the wrong class by mistake, cancel and rebook inside the window. This doesn't affect your statutory rights; because the class is a service for a specific date, the 14-day cooling-off right does not apply once the class has taken place or where you asked us to proceed within the period.
12. Turning up
Arrive a few minutes early, bring what the gym asks for, and follow the gym's rules and its coaches' instructions. You train at your own risk and you're responsible for judging your own fitness for a class. If you're turned away for not having signed the waiver, no refund is due.
13. Reviews and feedback
After a class we may invite you to leave a rating and review. Be honest and fair. We can remove reviews that break section 3.
Part C — Gyms
14. Listing your gym
By listing you confirm you're authorised to act for the gym, that your details are accurate, that you hold public liability insurance appropriate to what you offer, and that you'll tell us promptly if anything changes. We review listings before they go live and can decline or remove a listing at our discretion. You're responsible for your timetable, prices, capacity, facilities and photos, whether you enter them yourself or connect your booking software, and for honouring every confirmed booking.
15. Payments to you
BoxPass collects each drop-in price from the athlete and pays you your share, less our commission (section 16), through Stripe to the bank account you register. Settlements are shown in your dashboard and paid monthly in arrears. You're responsible for your own tax and VAT. Refunds we give athletes under section 11 are deducted from your settlement where the class price has already been credited to you.
16. Commission and fees
Our standard commission is 30% of the drop-in price (gym keeps 70%), subject to a minimum of £1.50 per booking, calculated on the undiscounted price; any discount you offer comes out of your share. The £1.50 athlete booking fee is BoxPass's. Founding Gym offer: gyms that list before 1 December 2026 keep 100% of the class price for 90 days from go-live, during which BoxPass keeps only the booking fee; standard commission applies after that. We'll give at least 30 days' notice of any change to commission.
17. Waivers
You must upload your current liability waiver before athletes can book. You're responsible for its content and legal adequacy. BoxPass presents it, records the athlete's signature and gives you access to signed copies; we're not a party to it and give no advice on it. Uploading a new version requires athletes to re-sign at their next booking.
18. Connected booking software
If you connect TeamUp, Wodify, PushPress or another platform, you authorise BoxPass to read your class schedule and (where you enable it) write reservations back. We store your credentials encrypted and never display them. You can disconnect at any time. You remain responsible for your account with that provider and for complying with its terms.
19. Your obligations to athletes
Provide the class as listed, at the time listed, with a suitably qualified coach; admit any athlete with a confirmed booking who has signed your waiver; don't refuse or treat athletes differently on any protected ground; keep your premises and equipment safe; and treat athletes' personal data in line with data protection law (you're an independent controller once you have it). Don't use athlete details obtained through BoxPass to market to them or to book them outside BoxPass to avoid commission.
20. Cancelling classes
If you must cancel a class, do it as early as possible through your dashboard or your connected software; affected athletes are refunded in full. Repeated late cancellations may lead to removal from the Platform.
21. Ending the relationship
You can remove your listing at any time; confirmed bookings before removal must still be honoured or refunded. We can suspend or remove a listing for breach of these terms, complaints, safety concerns, or no activity, with notice where practical. Sections 15–17 survive for amounts still owed.
Part D — Ambassadors
22. The programme
If we invite you to be an ambassador, you receive a unique link and code. You'll be paid a share of BoxPass's commission (not the booking fee) on bookings at gyms and by athletes who sign up through your link: 10% in year one, 7.5% in year two, 5% in years three to five from the referred party's sign-up. Payouts are made periodically by BoxPass on request, as shown in your ambassador dashboard. You must promote BoxPass honestly, follow advertising rules (including making clear you're paid), not spam, and not bid on the BoxPass name in paid search. We can end the programme or your place in it with 30 days' notice; earned but unpaid commission is still paid.
